The Cost and Quality System Abercrombie & Kent uses to sell, price, run and settle shore excursions for cruise passengers in Peru, from tariffs to dispatch.

The challenge

When a cruise docks in Peru, hundreds of passengers may head out on shore excursions the same day: transfers, guides, buses, coordinators, entrance fees, meals. Abercrombie & Kent’s team in Peru sold, priced and settled these operations across spreadsheets, which made it hard to know the real cost and margin of each tour and to check that every service was delivered as agreed.

What we built

CQC (Cost and Quality System) is the web app the team uses to run the cruise business end to end.

  • Reference data: cruise lines, cruises, ports and seasons in one place.
  • Sales: each tour sale broken down by day, with its activities, guides, buses, coordinators and providers, plus sales tracking dashboards.
  • Pricing: a price-list engine that works like a spreadsheet, with pricing rules per venue and configurable rounding, so quotes follow the same tariffs every time.
  • Costs: operating costs per tour day and for shuttle buses, and master files for full programmes with flights, tips and amenities.
  • Operations: day-of-operation dispatch timetables.
  • Settlement: liquidations for sales and programmes, and multi-sheet Excel exports for dispatch and settlement.
  • Access: passwordless sign-in by email link and role-based permissions for each area.

Results

CQC has been in production since 2024 and keeps evolving with the operation: tariffs, costs and settlements now live in one system instead of scattered spreadsheets.
